PAC EXECUTIVE ROLE INFORMATION
The President will:
- Speak on behalf of the Council
- Consult with Council members
- Preside at membership and executive meetings
- Ensure that an agenda is prepared and circulated
- Ensure that members are notified of meetings
- Appoint committees where authorized by the membership or executive
- Ensure that the Council is represented in school and district activities
- Ensure that Council activities are aimed at achieving the purposes set out in the Constitution
- Liaise with staff and administrator
- Be a signing officer
- Submit an annual report
- Circulate the constitution and bylaws and ensure that required members review and sign the Code of Ethics after the election of executive and representatives
The Vice-President will:
- Support the president
- Assume the duties of the president in the president’s absence or upon request
- Assist the president in the performance of their duties
- Accept extra duties as required
- Be a signing officer if required
The Secretary will:
- Record, circulate and file minutes of all meetings
- Keep an accurate copy of the constitution and bylaws, and make copies available to members upon request
- Prepare and maintain other documentation as requested by the membership or executive
- Ensure safekeeping of all records of the Council
- Be a signing officer if required
The Treasurer will:
- Be a signing officer
- Ensure all funds of the Council are properly accounted for
- Disburse funds as authorized by the membership or executive
- Ensure that proper financial records and books of account are maintained
- Provide a summary report of receipts and disbursements at general and executive meetings
- Make financial records and books of account available to members upon request
- Have the financial records and books of account ready for inspection or audit annually
- With the assistance of the executive, draft an annual budget
- Ensure that another signing officer has access to the financial records and books of account in the treasurer’s absence
- Submit an annual financial statement at the annual general meeting
- File necessary reports to funding agencies as required
The Hot Lunch Lead will:
- Plan lunch days: Work with the team to decide how often to offer lunches and plan menus around the school calendar.
- Set up the system: Prepare the online ordering system, send invites to parents, and support them with questions.
- Work with vendors: Coordinate lunch dates, confirm orders, and arrange payments.
- Organize scratch-made meals: Plan and price homemade lunches, assign team leads, and purchase ingredients.
- Liaise with school staff: Confirm that the planned schedule will work with the school calendar of events.
- Communications: With the help of school office staff, send invitations to parents to prompt them to complete food orders using the online ordering system. Be sure to give parents advance notice of at least 1-2 weeks for completion of ordering.
- Manage volunteers: Find helpers for serving and delivery; keep the volunteer schedule updated.
- Financial deposits: After each hot lunch order run, reconcile all financial payments and work with the Treasurer to deposit payments into the PAC bank account.
- Keep things running: Track kitchen supplies, maintain the shared space, and report to PAC on how lunch days are going.
The Director will:
- Serve in a capacity to be determined by the Council at the time of election, and at other times as the Council requires
- Conduct the election of officers at the AGM
- Be a signing officer if required
Minimum of 2 Directors. Maximum of 5 Directors.
The DPAC Representative will:
- Attend meetings of DPAC and represent, speak, and vote on behalf of the Council
- Maintain current registration of the Council on DPAC
- Report regularly to the membership and executive on all matters relating to the DPAC
- Seek and give input to the DPAC on behalf of the Council
- Receive, circulate, and post DPAC newsletters, brochures, and announcements
- Receive and act on all other communications from the DPAC
- Liaise with other DPAC representatives
The Inclusion Rep will:
- To work collaboratively with school staff and the PAC body to support, enhance and create events/initiatives that reinforce diversity and inclusivity within our school and community
- Meet with school staff to identify needs and wants surrounding inclusion and diversity within the school.
- Communicate with the PAC body to identify needs and wants surrounding inclusions and diversity within the school and community.
- Research and provide resources to support initiatives/events based on needs and wants of the Staff and PAC.
- Spearhead sub-committees required to bring initiatives/events to fruition.
- Bring motions forward to the PAC body for any required funding..
